THIS IS TO INFORM YOU that VALET S.R.L. uses the ordinary personal data of its customers and suppliers and of those parties who have intentionally provided their personal data to our sales, educational or meeting department, either directly or by telephone, by post, by fax or by email.

Under the applicable regulations (GDPR), VALET S.R.L. shall use the personal data in strict compliance with any fundamental right or freedom and without damaging the dignity of the party concerned, in terms of confidentiality, personal identity and privacy rights.
Purposes

All personal data shall only be used to meet the formalities associated with the company’s business, namely:

  • • To enter the customer lists in the company’s databases.
  • • To process its own statistics.
  • • To record servicing forms or support and/or training sheets.
  • • To manage courses, meetings and conferences.
  • • To issue shipping papers, invoices and credit notes.
  • • To issue quotes and estimates to any existing and/or potential customer.
  • • To issue enquiries and quotes to any existing and/or potential supplier.
  • • To keep the VAT and accounting books.
  • • To manage cash collections and payments.
  • • To send sales materials and/or newsletters about the company’s business or the business of associated companies working in the same industry, to any existing and/or potential customer.
  • • To allocate CME credits (Continuing Medical Education).
  • • To exchange messages about the company’s business, sales and administration by telephone, post, courier, fax, email or through the subscriber-only areas of the Website.
  • • To fulfil any regulation laid down by the applicable law, rules, EU directives, commercial or tax regulations.
Disclosure of personal data

If needed, the personal data may also be disclosed to:

  • • Any party entitled to have access to such data under any ruling or regulation.
  • • Our consultants, employees, agents and suppliers, within their remits and/or as part of any agreement with them, regarding the business relationships with the party.
  • • Exhibitors who take part in the courses, meetings and conferences organised by our company.
  • • Factoring companies, credit collection companies or credit insurance providers.
  • • Post offices, forwarding agents and couriers, to send materials and/or documents.
  • • Unified communication companies if privacy letters and messages are sent through their channels;
  • • Any legal and/or natural person and any public and/or private organisation (legal, tax and accounting consultants, labour and payroll consultants, legal offices, trade organisations, labour organisations, etc.) insofar as needed for or instrumental to our business, in the ways and for the purposes mentioned above; banks, for managing cash collections and payments under any agreement;

The full names of the persons attending our courses, conferences and meetings may be shown on screen when they enter the venue, as they will be scanned to receive their CME credits.

Type of collection and consequences of non-provision of personal data

The people who intend to start a business relationship with our company, even if merely for information about our business/services, do not have to provide their personal data, but, if they fail to give their personal data, such relationship cannot continue or might be hindered, and some legal requirements, including tax requirements, might be unmet. Personal data shall be kept in the company’s operating unit for as long as prescribed by the applicable laws and tax regulations.

Processing

Personal data are only processed within our premises on hardcopy and electronic media, by telephone or electronically, or using automatic tools that save, manage and disclose such data, while taking all the measure they can to protect the security and confidentiality of such data.

Filing time

Personal data are used and kept for as long as needed to meet the purposes they have been collected for.

Therefore:

  • • Personal data collected for fulfilling an agreement between the Data Controller and the user shall be kept until the agreement has been completed.
  • • Personal data collected in the legitimate interest of the Data Controller shall be kept until such interest has been fulfilled. Users can receive more information about the legitimate interest pursued by the Data Controller in the relevant sections of this policy or by contacting the Data Controller.

If the user has agreed to have his/her personal data used, then the Data Controller can keep the personal data for longer, until such agreement is withdrawn. In addition, the Data Controller may be forced to keep the personal data for longer in order to comply with some legal order or at the request of any authority.

Right of access to personal data

Such rights may be asserted by sending an informal request to such effect to the Data Controller or to a manager, even through an attorney, and such request shall be properly and timely handled. Such right may also be asserted by sending such request to the Data Controller or to the Data Processor by registered letter, by fax or by email.
